    Committees

    Standing Committee Descriptions

    Annual Golf Tournament

    Cordinates the annual golf tournament to provide networking opportunities and foster camaraderie between the business and administrative counterparts of state agencies and TSABAA vendor partners.
    Time commitment: ongoing with peaks at mid-winter and annual conferences, month prior to tournament and day of tournament.

    Audit

    Reviews and certifies accounts, papers and invoices for fiscal year just past and prepares report to membership via email by November 1. Prepares memorandum copies provided for annual conference. Certifies year-end balances to Executive Committee.
    Time commitment: term is for fiscal year — begins immediately after September 1 (two weeks with report completed by November 1, additional two weeks if partial year audit is requested).

    Awards

    Receives and reviews nominations for Administrator of the Year award and makes recommendations to Executive Committee for individuals to be recognized for outstanding service or leadership.
    Time commitment: a three to four-week period prior to the annual conference with multiple detailed tasks.

    Constitution, Bylaws and Resolutions

    Considers proposals for changes and amendments in constitution and bylaws and presents recommendation to the Association. Receives and considers resolutions (i.e., Administrator of the Year) and presents them on the floor of the annual meeting.
    Time commitment: varies from review of proposals to preparation and distribution of draft
    documents.

    Continuing Professional Education

    Maintains contacts and affiliations with professional organizations for CPE credits from program participation.
    Time commitment: ongoing contacts, preparation of certificates and proof of attendance for every program event.

    Membership

    Promotes membership to all agencies, including invoicing for dues and follow up. Serves as a point-of contact for membership adds, moves and change of address. Works with contractor to maintain current mailing list, distribution and contact with each member agency.
    Time commitment: ongoing schedule with multiple detailed tasks.

    Engagement and Training

    Assists the President in actively engaging new and existing member agencies. Helps develop potential trainings for scheduled and/or called meetings when requests for assistance are made. The Chair arranges for speakers and meeting space for the scheduled meetings.
    Time commitment: one to two weeks intermittently throughout the year.

    Communications Committee

    Sends to the membership, on a regular basis, information on the activities of the Association, maintain the TSABAA website and social media pages, and other information of interest to the state agency business administrators. 
    Time commitment: Ongoing. Detailed tasks.

    Vendor

    Maintains frequent contact with those who wish to exhibit at annual conference and/or support the Association. Makes arrangements for such exhibits by working with the site manager and other.
    Time commitment: year-long commitment, with periods of heavy involvement two months before, during and after the conference. Additionally, mid-winter program book ads and early contact mail out for annual conference. Detailed tasks.

    Conference Committee Descriptions

    Annual Conference Chair (Summer Conference Only)

    Assists in developing annual program, including site arrangements. Coordinates subcommittees for speakers, publicity, registration, conference booklet, awards, social events and door prizes.
    Time commitment: ranges from three days (at conference) to three to four months just prior to
    conference.

    Local Arrangements

    Works with Conference Chair and President (Annual) or Vice-President (Mid-Winter) on locking down a conference site location. Responsible on working with hotel on arrangements for guest rooms, meeting rooms, exhibitor space, receptions, catering, and all other on-site events for conference. Communicates with Executive Committee about all contracts and payment information. Primary point of contact with hotel.
    Time commitment: four to five months leading up to conference, and another two to six weeks after the conference to finalize account with hotel.

    Printing/Brochure

    Prepares all printing material and signage for conference as becomes available. Coordinates with Conference Chair and Program chair on creation and production of conference brochure. Prepares any speaker materials and/or handouts for printing or alternative distribution as needed.
    Time commitment: six to eight weeks prior to the conference.

    Program

    Responsible for planning the agenda for the conference. Coordinates with Conference Chair and President (Annual) or Vice-President (Mid-Winter) to identify topics and schedule speakers (including creating speaker contracts for paid speakers). Constant point of contact during conferences for speakers and A/V needs.
    Time commitment: two to four months prior to the conference through the conference.

    Publicity

    Coordinates with local business for donations to be used as gift bag stuffer items or door prize gifts given out throughout the conference. Coordinate with businesses on pick-up or delivery of items and ensure transportation to conference. Works with local chamber of commerce to obtain any publicity materials.
    Time commitment: sporadic cold calls and/or emails in the three to four months leading up to the conference.

    Registration

    Maintains the list of registrants and associated name badges for attendees of the conference of both members and vendors. Works with publicity subcommittee on welcome bags and stuffer items.
    Time commitment: two to four months prior to the conference through the conference.
