JOB SUMMARY:

This position in Accounts Payable works in a small dynamic team environment.   This position performs moderately complex (journey-level) accounting work. Work involves preparing and processing various types of accounts payable vouchers including auditing, coding, and maintenance of records.  This position will serve as the bridge between CAPPS Financial implementation and daily business activities. Reconciliation of vendor accounts is required function of this position.  This position works under moderate supervision with limited latitude for the use of initiative and independent judgment.

ESSENTIAL FUNCTIONS:

  • Prepares and/or processes payment vouchers in accordance with state and federal rules and regulations.
  • Process Pro-card and DIR vouchers
  • Classifies, codes, posts, and balances financial accounting information.
  • Ensures the reliability of agency accounting records.
  • Assists internal and external customers.
  • Reconciles travel advance
  • Responsible for SPA reconciliation
  • Audits travel vouchers for accuracy and completeness prior to processing.
  • Responsible for assisting with creation and maintenance of Accounts Payables and Travel procedures.
  • Performs data entry and retrieval in the USAS, GFAS, and /or CAPPS accounting systems.
  • Prepares complex and/or routine correspondence, reports, financial analysis, forms, and documents as needed.
  • Assist in supporting receiving report process.
  • Assist in contributing to recommendations for improvements, adaptations, or revisions to the accounting system and accompanying procedures as required.
  • Researches and reconciles discrepancies in accounts and reports findings as required.
  • Assist in system implementations
  • Performs related work as assigned.

MINIMUM QUALIFICATIONS:

  • Graduation from high school or completion of GED.
  • Two (2) years of experience of relevant work experience in state accounting and/or financial operations.
  • Experience with automated accounting systems preferred

KNOWLEDGE, SKILLS & ABILITIES: 

  • Knowledge of generally accepted accounting principles and procedures
  • Working knowledge of State-mandated accounts payable policies and procedures.
  • Working knowledge of USAS, GFAS, or CAPPS accounting systems.
  • Ability to interpret and apply accounting theory and to work accurately with numerical detail.
  • Ability to identify and evaluate problems, organize, and analyze information, provide alternatives, and implement effective solutions.
  • Advanced skill in the use of personal computers and applicable programs, applications, and accounting systems.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to prepare and maintain detailed records, files, and reports.
  • Ability to provide quality customer service.
  • Ability to develop and maintain effective working relationships inside and outside of the agency.
  • Ability to handle multiple tasks.
  • Ability to produce quality, accurate work while meeting deadlines.
  • Ability to meet attendance requirements.

  • Ability to engage in additional duties that may be assigned at varying intervals throughout the fiscal year.

PHYSICAL REQUIREMENTS AND/OR WORKING CONDITIONS:

This classification functions in a standard office environment.  There are no unusual dangers involved, but the position will have exposure to dust, environmental allergens and pathogens consistent with business activities and human contact.  With or without use of aids, must be able to move items up to 30 lbs, must be able to perform tasks requiring fine motor skills and coordination, must be able to sit or stand for prolonged periods, must have sufficient vision to read small print and safely drive vehicles, must have sufficient hearing and voice to participate effectively in conversation, hearings, presentations, and similar situations.
