General Description:
Provides highly responsible administrative support and technical program assistance within the assigned region. Coordinates Regional office functions with headquarters office to ensure the administrative policies and procedures of the agency are carried out. Works under limited supervision, with moderate latitude for the use of initiative and independent judgment.
Contacts:
Has extensive contact (face-to-face, telephone, and in writing) with all levels of management, which includes headquarters and field staff.
Duties and Responsibilities:
- Formats and makes corrections to examination reports submitted by bank/trust examiners and processes reports.
- Coordinates and prepares correspondence, reports, forms, and documents.
- Makes entries and updates agency’s database for tracking purposes.
- Prepares packages for banks being examined.
- Sends out the necessary information to banks in preparation for upcoming examination.
- Schedules appointments.
- Coordinates meetings and conferences.
- Develops trip itineraries and coordinates air and ground travel.
- Answers consumer questions and directs them to the proper party if necessary.
- Performs general office duties such as answering the telephones, maintaining a filing system, processing mail and ordering office supplies.
- Maintains inventory of all office property.
- Facilitates transfer of equipment when necessary.
- Serves as Additional Duty Safety Officer (ADSO) for the regional office.
- Performs related work as assigned.
Required Minimum Qualifications:
Education and Experience:
- Graduation from an accredited High School or equivalent.
- Four years of office experience including administrative support.
Preferred Qualifications:
- Bilingual in Spanish and English with the ability to communicate well, both verbally and in writing.
- Graduation from an accredited four-year college or university.
Knowledge, Skills, Abilities:
- Knowledge of policies, practices, procedures and terminology appropriate to assigned function.
- Knowledge of administrative procedures, principles and practices.
- Accomplished keyboard skills including knowledge of personal computers, Microsoft Word and Excel software applications.
- Skill in preparing and maintaining accurate records, reports, documents and correspondence.
- Skill in scheduling and managing multiple projects and deadlines.
- Skill in written and verbal communication including formatting, composition, proofreading and editing.
- Skill in setting priorities and establishing effective working relationships.
- Ability to learn and use new software applications.

This position requires the incumbent to primarily perform sedentary office work; however, mobility (standing and walking) is routinely required to carry out some duties. It requires extensive computer, copiers, printers, telephone and client/customer contact. The job also requires normal cognitive abilities requiring the ability to learn, recall, and apply certain practices and policies. It requires the stamina to maintain attention to detail despite interruptions. Marginal or corrected visual, speech and auditory requirements are required for reading printed materials and computer screens and communicating with internal and external customers.
