JOB SUMMARY:

Performs complex (senior-level) consultative services and technical assistance work.  Work involves collecting and disseminating information, maintaining records management systems, performing internal administrative support work, and providing support to unit management through assisting in the prioritization of workflow in order to achieve program goals.  Works under limited supervision, with moderate latitude for the use of initiative and independent judgement.

ESSENTIAL FUNCTIONS:

  • Develops, coordinates, and maintains records and filing systems within the Electronic Project Management Control System.
  • Collects, enters and maintains data in Electronic Project Management Control System (EPMCS).
  • Monitors and assists in maintaining real-time status of database.
  • Assists in program management duties and management of operating programs.
  • Collaborates with project managers to facilitate the successful update and processing of data into the electronic project management control system and in the implementation of new or revised policies, programs, and procedures, ensuring the achievement of program objectives.
  • Provides routine support for project managers in use of information technology systems.
  • Assists Managers in prioritizing data and reporting projects.
  • Maintains, writes, and distributes Commission-related reports and documents for the purpose of obtaining required authorization of project-related transactions.
  • Assists in the general administration of project-related activities.
  • Maintains, manages and badging database.
  • Responds to McGregor letter requests.
  • Operates information technology systems.
  • May train others.
  • Performs related work as assigned.

MINIMUM QUALIFICATIONS:

  • College education in business administration or a related field or technical training in office administration or a related field may be substituted for experience on a year-for-year basis.
  • Four (4) years progressively responsible experience in administrative management of technical program areas, such as experience in document control, fiscal record keeping, operating information technology systems, database management, and maintaining web-based systems.
  • Education and experience may be substituted for one another on a year-for-year basis.
  • CTCM, preferred.

KNOWLEDGE, SKILLS & ABILITIES:

  • Considerable knowledge of office practices and administrative procedures.

Considerable knowledge of project planning.

  • Knowledge of operations analysis principles, methods, and practices.
  • Proficient skill in the preparation of Commission-related documents, including writing and

editing reports; and in the maintenance of record keeping and records management systems.

  • Considerable knowledge in the use of personal computers and applicable programs, applications, and systems, including software applications such as Microsoft Word, Excel, and PowerPoint. of software applications such as Word, Excel, and PowerPoint.
  • Skill in maintaining real-time status of database.
  • Skills in establishing effective communications with a wide range of individuals and constituencies in a diverse community.
  • Skill in developing policy and procedure documentation.
  • Skills in workflow analysis and management.
  • Skills in maintaining records.
  • Skill in creating, and manipulating data, in spreadsheets and databases.
  • Skill in preparing documents using correct spelling, grammar, and punctuation.
  • Skill in performing multiple tasks with a high degree of accuracy with minimal supervision.
  • Skill in organizing resources and establishing priorities.
  • Ability to research, analyze, and interpret policies, rules, laws and regulations.
  • Ability to proofread and review documents for clarity and consistency.
  • Ability to perform data entry and retrieval.
  • Ability to maintain accurate records and files; and to ensure confidentiality of sensitive information.
  • Ability to perform multiple tasks with a high degree of accuracy.
  • Ability to provide customer service.
  • Ability to train others to operate information technology systems.
  • Ability to establish, implement and maintain operating goals and objectives.
  • Ability to communicate effectively, both orally and in writing.

PHYSICAL REQUIREMENTS AND/OR WORKING CONDITIONS:

This classification functions in a standard office environment.  There are no unusual dangers involved, but the position will have exposure to dust, environmental allergens, pathogens, and other microorganisms consistent with business activities and human contact.  The position holder must be able to work effectively with people under varying conditions, must be able to work extended periods at a computer, and must be able to work longer than eight hours in a work-day as necessary. Physical requirements also include the ability to move items up to 30 lbs. and perform tasks requiring fine motor skills and coordination.
