JOB SUMMARY:
General Description:
Assistant to the Deputy Executive Director and Director of Facilities Design & Construction. Performs advanced (senior-level) professional assistance work for the Facilities Design & Construction Division. Work involves coordinating or overseeing high-level administrative operations. Works under limited supervision with considerable latitude for the use of initiative and independent judgment.
Essential Duties:
- Provides technical administrative assistance to the Deputy Executive Director and Director of Facilities Design & Construction Division.
- Manages calendars, meetings, and other activities with other governmental agencies, executives, and organizations on behalf of an agency executive
- Coordinates divisional activities and intra-agency responsibilities.
- Gathers and organizes documents for preparation and timely distribution of agenda packets for commission meetings; reviews materials for accuracy and completeness.
- Develops, coordinates, and maintains accurate record keeping and filing systems in accordance with the agency records retention schedule.
- Prepares, edits, and distributes correspondence, studies, reports, forms, and documents.
- May research, compose, design, and/or edit agency publications, including brochures, forms, manuals, and reports.
- Requisitions and orders of merchandise, supplies, and equipment using guidelines, rules, policies, and laws.
- Greets visitors, answers and screens phone calls, takes messages, and sets up conference calls for an executive(s).
- Tracks the status of requisitions and purchase orders.
- May compile and prepare statistical data and various charts, graphs, and written summaries.
- May assist in the implementation of program planning.
- May assign and/or supervise the work of others.
- Performs related work as assigned.
Required Qualifications: (Minimum Qualifications)
Education and Experience:
- Graduation from a standard senior high school or completion of GED.
- Four (4) years’ experience in administrative support
- College education in business administration or technical training in office administrative support or a related field may be substituted for experience on a year-for-year basis.
- Must possess the ability to attest to and maintain the security or integrity of the state’s critical infrastructure requirement to be considered for hire and to maintain employment.
Knowledge, Skills and Abilities:
- Knowledge of Texas Public Information Act and rulemaking.
- Considerable knowledge of office practices and business procedures.
- Considerable knowledge of applicable rules, regulations, and policies.
- Skill in the use of personal computers and applicable programs, applications, and systems.
- Skill in the use of standard office equipment.
- Ability to plan, organize, and implement program initiatives.
- Ability to read, comprehend, and interpret contract language.
- Ability to prepare written correspondence, reports, studies, forms, and documents.
- Ability to maintain accurate records and files; and to ensure confidentiality of records and sensitive information.
- Ability to handle multiple tasks.
- Ability to meet deadlines.
- Ability to communicate effectively, both orally and in writing.
Registration, Certification or Licensure:
- May require certification as a Certified Texas Contract Developer (CTCD) and/or Certified Texas Contract Manager (CTCM).
Physical Requirements and/or Working Conditions: This position functions in a standard office environment. There are no unusual dangers involved.
Work Schedule:
- 8:00 am to 5:00 pm, Monday through Friday.
- Must be able to work flexible hours during a legislative session and as needed.
