General Description:
The Executive Assistant provides highly complex administrative support to the Director of Risk Management, ensuring the efficient operation of high-level functions within the organization. This role involves managing schedules, coordinating meetings, preparing and reviewing documents, and serving as a key point of contact for internal and external stakeholders. Working under limited supervision, the Executive Assistant exercises considerable discretion and independent judgment, often handling sensitive information and supporting decision-making processes.
Essential Duties:
- Coordinates high-level administrative operations, including scheduling and facilitating meetings, conferences, seminars, and training(s) for the Director of Risk Management.
- Manages the director’s calendars, travel arrangements, and logistics; prepares itineraries and travel documentation.
- Supports the division’s policy and procedures management via the policy and procedure management system (e.g., DocTract), including providing division user support as well as policy and procedure document creation and upkeep.
- Prepares, reviews, and edits a variety of documents such as reports, internal and external agency correspondence, meeting agendas, presentations, charts, and spreadsheets for accuracy and completeness.
- Maintains organized filing systems and databases; ensures timely and accurate recordkeeping, including confidential materials.
- Serves as a liaison between executives, internal teams, external agencies, and stakeholders, ensuring efficient communication and information flow.
- Assists in the preparation and monitoring of division performance measures, reports, and administrative reviews.
- Coordinates information and documentation related to onboarding activities.
- Prepare summaries, charts, and reports from compiled data for executive use.
- Performs related administrative duties and special projects as assigned, often with a high degree of confidentiality and independent judgment.
Required Qualifications (Minimum Qualifications)
Education and Experience:
- Experience in administrative management.
- Graduation from an accredited four-year college or university with major coursework in business administration or a related field is generally preferred. Experience and education may be substituted for one another.
- Valid State of Texas Class “C” driver’s license.
- Must possess the ability to attest to and maintain the security or integrity of the state’s critical infrastructure requirement to be considered for hire and to maintain employment.
Registration, Certification or Licensure:
- None required.
Knowledge, Skills and Abilities:
- Considerable knowledge of office practices and business procedures.
- Considerable knowledge of applicable rules, regulations, and policies, as well as related legislative and legal practices and procedures.
- Skill in the use of personal computers and applicable programs, applications, and systems.
- Skill in the use of standard office equipment.
- Ability to plan, organize, and implement program initiatives.
- Ability to prepare written correspondence, reports, studies, forms, and documents.
- Ability to maintain accurate records and files; and to ensure confidentiality of records and sensitive information.
- Ability to handle multiple tasks.
- Ability to meet deadlines.
- Ability to communicate effectively, both orally and in writing.
Physical Requirements and/or Working Conditions:
This position functions in a standard office environment. There are no unusual dangers involved.
Work Schedule:
- 8:00 am to 5:00 pm, Monday through Friday.
- Must be able to work flexible hours during a legislative session and as needed.
